Tracking follow-up actions

The Action Log is your centralised issue tracker. It captures everything in one place: out-of-range temperatures, rejected deliveries, 'No' responses on periodic checks, and manually raised issues like equipment faults or pest sightings. Auto-raised actions link back to the original record so the audit trail is bidirectional.

Open the action log

From your Site Dashboard, click 'Action Log'. Open and In Progress actions show by default; switch tabs for Resolved.

Raise an action manually

Click 'Raise Action'. Enter a title, choose a category (equipment, cleaning, temperature, delivery, pest control, or other), set a priority (low/medium/high), and add a description.

Auto-created actions

Out-of-range temperature readings, rejected deliveries, and 'No' responses on periodic checks all open an action automatically with the corrective action text pre-filled. Each one links back to the source record.

Move through the lifecycle

Open → In Progress → Resolved. Use 'In Progress' to show that work is underway so others don't pick it up too.

Resolve with notes

Click 'Resolve' and enter what was done. The resolver's name, the timestamp, and the notes are stored as part of the audit trail.

Tips

  • Check the Action Log at the start of every shift — it's where overnight issues land.
  • Filter by category and priority during quiet periods to clear the backlog.
  • Always add detail to auto-created actions — the next person needs the context.
